Case Study: Newark & Sherwood District Council – Streamlining the delivery of Information Governance

A range of requests come into the Council on a daily basis and due to regulatory requirements, the Council must respond to the requests within defined timescales. The Information Governance Team at Newark and Sherwood District Council worked closely with the Meritec team to build an automation module to reduce the administration burden on the team.

The Challenge

The Information Governance Team at Newark & Sherwood District Council consists of two Officers who’s primary role is to respond to the deluge of different types of requests for information that a typical Council receives on a daily basis.  FOI, EIR-PS, SAR and a range of other requests come into the Council on a daily basis and due to regulatory requirements, the Council must respond to the requests within defined timescales.  Additionally, a typical request for information may need to be sent to any number of internal departments/service areas to provide all or part of the response.

The administration of disseminating the requests to the correct service area, chasing up responses from multiple departments and preparing a satisfactory response ahead of response deadlines was huge administration burden on the team.

The Solution

The IG team at Newark and Sherwood District Council worked closely with the Meritec team to build an automation module that would greatly reduce the administration burden on the team.  The team had a desire to move away from using spreadsheets and manual email reminders to process incoming requests so Meritec implemented a solution  using smart workflows, self-service submissions, RAG reporting on responses status’s, email reminder notifications to service areas as deadlines approach and email response templates.  The overall result completely revolutionised the way that the Council receives, processes and responds to information requests.

Meritec’s FOI module provides a user friendly platform for managing requests for information including those made under GDPPR/Data Protection legislation as well as the Freedom of Information Act and Environmental Information Regulations.  The support offered by Meritec during the development and implementation stage allowed us to go live well within our original deadline, and the ongoing support since that time has been excellent.”
